Refund & Withdrawal Policy

1) Policy statement
Whitestone International College of Innovation (“Whitestone”, “we”, “our”) operates a non-refundable fees policy as standard for all programmes and short courses, in line with our published Terms & Conditions. This policy sets out the limited circumstances in which remedies may be offered and how requests must be made. Your statutory rights (where applicable) are not affected.
2) Scope
Applies to all applicants and enrolled learners across all modes of delivery (online, blended, on-campus) and all international centres.
3) Key principles
- Non-refundable as standard: Tuition fees, application/registration fees, administrative fees, assessment/reassessment fees, and third-party costs are not refundable.
- Start date control: The published programme start date determines eligibility for any remedies.
- No refunds after start: After the start date, no refunds, deferrals, or transfers are available.
- Deferral/transfer (pre-start, discretionary): Before the start date, Whitestone may offer a one-time deferral or transfer to a later intake at our discretion, subject to availability and policy conditions. An administrative fee [£____] may apply.
- Provider-initiated change/cancellation: If Whitestone cancels a programme or makes a material change that prevents reasonable continuation, we will offer appropriate remedies (e.g., alternative intake, credit, or fee refund of tuition paid) in accordance with this policy.
- Compliance with law: Where applicable consumer-protection laws confer a cancellation right, Whitestone will comply with those requirements in the relevant jurisdiction.
- Evidence & timelines: All requests must be in writing, include supporting evidence (where relevant), and be submitted within the stated timelines.
4) Standard outcomes by scenario

| Breach of Terms/Policies by learner (e.g., misconduct, non-payment) | No refund. Access may be suspended/terminated; outstanding balances remain payable. |
Notes:
• Application/registration fees and administrative charges are always non-refundable.
• Any permitted refunds (provider-initiated scenarios only) are issued to the original payer, net of bank/transfer charges and exchange differences.
• Employer-sponsored learners should resolve internal funding arrangements directly with their organisation.
5) How to request (pre-start deferral/transfer only)
- Email [admissions@yourdomain] with subject “Deferral/Transfer Request – [Name] – [Programme] – [Intake]” before the start date.
- Provide your offer letter, payment proof, and a brief rationale.
- Admissions will confirm the decision in writing and any administrative fee or conditions.
- Approved deferrals/transfers are valid once only and must be taken within [12] months, or the place lapses with no refund.
6) Exceptions & clarifications
- Third-party services (e.g., exam bodies, proctoring, texts, platform licences) are governed by the third-party’s terms and are non-refundable.
- Scholarships/discounts have no cash value and are not refundable or transferable.
- Payment plans: Missed instalments may result in access restriction and do not create eligibility for refund. Full balance remains due.
- International learners: Visa, travel, insurance, and accommodation costs are outside Whitestone’s control and are not refundable by Whitestone.
7) Appeals
If you believe this policy has not been applied correctly, you may submit a written appeal within 10 working days of our decision to [appeals@yourdomain]. Appeals are reviewed under Whitestone’s Complaints & Appeals Policy. Submitting an appeal does not guarantee a different outcome.
8) Policy governance
This policy should be read alongside Whitestone’s Terms & Conditions, Admissions Policy, and Academic Regulations. Whitestone may update this policy from time to time; the version in force at the date of your request will apply.
