These Terms & Conditions (“Terms”) govern your use of the website, portals, and learning services provided by Whitestone International College of Innovation (Whitestone, we, us, our). 1. Definitions

  • Services: our website(s), learning portal/LMS, publications, programmes, modules, and related support.
  • Programme: any Certificate, Diploma, Advanced Diploma, or short course we deliver.
  • Learner: an individual accepted onto a Programme.
  • Offer Letter: the written offer confirming a place, fees, and key terms.
  • Policies: Whitestone’s published rules and procedures updated from time to time.

2. Scope & Acceptance

2.1  Using our website or Services constitutes acceptance of these Terms.
2.2  If you enrol, a separate Enrolment Contract forms when you accept the Offer Letter and pay the applicable fees; that contract incorporates these Terms and our Policies.
2.3  If there is any conflict, the Offer Letter and Academic Regulations take precedence over website text.

3. Eligibility & Admissions

3.1  Admission is competitive and subject to meeting entry requirements, capacity, verification of documents, and Whitestone’s Policies.
3.2  We may refuse, suspend, or withdraw an offer (for example, due to ineligibility, non‑payment, or false information).
3.3  You must keep your personal/contact details current and promptly notify any change.

4. Programme Information & Changes

4.1  Programme descriptions, schedules, delivery modes, and fees are indicative and do not form a binding offer.
4.2  We may update, suspend, replace, or withdraw any Programme, module, assessment, schedule, delivery mode, or policy without prior notice for academic, regulatory, market, capacity, or operational reasons.
4.3  Where learners are directly affected, we will take reasonable steps to notify them and offer appropriate options in line with our Policies.

5. Fees, Invoices & Payment

5.1  Fees and any other charges are set out in your Offer Letter and/or the Programme page.
5.2  Fees are payable in the manner and by the deadlines stated. Bank charges and currency conversion costs are your responsibility.
5.3  Non‑payment (including late or partial payment) may result in denial of access to the LMS, withholding of results/certification, and/or withdrawal from the Programme.

6. Cancellations, Refunds & Deferrals

6.1  Fees are non‑refundable as standard. Cancellations made before the published start date are not eligible for a refund.
6.2  Where appropriate, Whitestone may, at its discretion, offer a one‑time deferral or transfer to a later intake, subject to availability, policy conditions, and any administrative fees.
6.3 After the Programme start date, no refunds, deferrals, or transfers are available.
6.4   If Whitestone cancels or materially changes a Programme in a way that prevents reasonable continuation, we will offer appropriate remedies in accordance with our Policies and applicable law.
6.5 Nothing in these Terms affects any statutory rights that may apply (e.g., where consumer cancellation rights are engaged).

7. Delivery Modes & LMS Access

7.1 Programmes may be delivered online, on campus, or in blended mode. Whitestone applies consistent academic standards across modes.
7.2 LMS accounts are individual and must not be shared. You are responsible for safeguarding login credentials and devices.
7.3 We may carry out scheduled or emergency maintenance; temporary unavailability does not entitle you to a refund.
7.4 You must ensure you have the required hardware, software, connectivity, and a suitable study environment.

8. Conduct, Integrity & Acceptable Use

8.1 You must comply with Whitestone’s Academic Integrity Policy and Code of Conduct. Plagiarism, impersonation, or unauthorised collaboration may lead to penalties, up to and including withdrawal.
8.2 You must not upload or transmit unlawful, offensive, infringing, or malicious content; introduce viruses; attempt to gain unauthorised access; or misuse the Services.
8.3 We may suspend or terminate access where we reasonably suspect breach of these Terms or our Policies.

9. Assessment, Progression & Awards

9.1 Assessment is conducted under our Academic Regulations and Assessment & Feedback Policy using published rubrics, internal verification, and moderation.
9.2 Marks and awards are confirmed by the relevant Assessment Board.
9.3 Re‑assessment, extensions, mitigating circumstances, and reasonable adjustments are managed per Policy.
9.4 Recognition of prior learning (RPL) and credit transfer may be considered with evidence and are not guaranteed.

10. Recognition & Progression

10.1 Whitestone Programmes are UK‑aligned and designed for professional relevance.
10.2 Recognition by employers, professional bodies, or other institutions depends on their independent criteria and is not guaranteed. Learners should verify recognition and progression routes for their specific goals.

11. Intellectual Property

11.1 All Whitestone content (text, graphics, logos, videos, downloads, course materials) is © Whitestone or its licensors. You may not copy, adapt, or distribute content without prior written permission except as permitted by law.
11.2 Learner‑created work remains your IP; you grant Whitestone a non‑exclusive, royalty‑free licence to use, store, copy, and share your submissions for assessment, quality assurance, academic integrity checks, and regulatory purposes.

12. Data Protection & Privacy

12.1 Whitestone manages personal data in line with UK data‑protection requirements and is registered with the Information Commissioner’s Office (ICO) (Registration No.: [ZB894111]).

14.2 Formal complaints and academic appeals must follow our Complaints & Appeals Policy and be submitted within the stated timelines.
14.3 Outcomes are communicated in writing. External escalation routes (if applicable) are described in the Policy.

15.1 Content on our website and publications is provided for general information and marketing purposes and does not constitute legal, financial, immigration, employment, academic, or professional advice.

16. Limitation of Liability

16.1 To the fullest extent permitted by law, Whitestone excludes liability for indirect or consequential loss, loss of profits, business interruption, data loss, or loss of opportunity arising from use of (or inability to use) the Services.

17.1 We are not liable for delay or failure to perform due to events beyond our reasonable control, including but not limited to acts of God, epidemic, pandemic, industrial dispute, utility failure, fire, flood, war, terrorism, civil disorder, government action, or failure of suppliers/partners.
17.2 We may modify delivery (e.g., move online), reschedule, or take other reasonable steps to continue provision where feasible.

18. Suspension & Termination

18.1 We may suspend or terminate access where you breach these Terms, fail to pay fees, or otherwise act contrary to our Policies or the law.
18.2 On termination, your right to access the Services ceases immediately; accrued obligations (including unpaid fees) remain due.

19. Variations

19.1 We may update these Terms and our Policies from time to time. The “Last updated” date will change accordingly.
19.2 Continued use of the Services after changes constitutes acceptance of the revised Terms.

20. Governing Law & Jurisdiction

20.1 These Terms and any non‑contractual obligations arising out of them are governed by the laws of England and Wales.
